We also operate the website www.chatbot.expert (hereinafter referred to as the “Website”). If you visit our Website, order our services, use our services, or otherwise communicate with us, we may collect and process your personal data.

1.    Purpose, Legal Basis, and Duration of Personal Data Processing

Chatbot.Expert processes your personal data manually and automatically for the following purposes and in the following cases:

1.1. New Customer Onboarding

Purpose of Processing

Processing and handling your request for chatbot implementation.

Personal data you provide as part of the onboarding process, typically from the onboarding questionnaire and other data requested by the onboarding chatbot. This includes name, surname, email address, phone number, and other similar data.

Legitimate interest in processing your request for service provision and in carrying out the onboarding.

For the duration of processing your request and completing the onboarding, and subsequently for up to 3 years, unless a longer retention period is required by law.

 

1.2. Provision of the Services

Purpose of Processing

Provision of chatbot or AI assistant services; fulfillment of contractual obligations.

Categories of Personal Data Processed

Personal data processed during the provision of services, typically including name, surname, and contact details.

Legal Basis for Processing

Performance of a contract.

Retention Period

For the duration of the service provision and for 3 years after termination of the service, unless a longer retention period is required by law.

 

1.3. Handling Your Inquiries and Requests

Purpose of Processing

Handling your inquiry or request submitted through our chatbot on our Website, or sent to us by email or by post to our contact address.

Personal data you provide in connection with your inquiry or request, typically including your name, surname, email address, and the content of your inquiry.

Legitimate interest in handling inquiries and requests.

3.    Your Rights and Other Important Information

3.1.  Right of Access to Personal Data

You have the right to obtain information on whether your personal data is being processed and, if so, the right to access your personal data. 3.2.  Right to Rectification of Personal Data

If you believe that Chatbot.Expert is processing inaccurate or incomplete personal data about you, you have the right to request its correction or completion.

3.3.  Right to Erasure

If you request the deletion of your personal data, Chatbot.Expert will delete it if: (i) it is no longer necessary for the purposes for which it was collected or otherwise processed, (ii) you have withdrawn your consent to the processing of personal data and there is no other legal ground for processing, (iii) you object to the processing and there are no overriding legitimate grounds for processing your personal data, (iv) the processing is unlawful, or (v) the legal obligation to process your data no longer applies under European Union or national law.

3.4.  Right to Restriction of Processing of Personal Data

Until any disputed issues regarding the processing of your personal data are resolved, you have the right to request a restriction of the processing of your personal data. If the processing is restricted, your personal data, with the exception of storage, may only be processed with your consent or for the establishment, exercise, or defence of legal claims, for the protection of the rights of third parties, or for reasons of important public interest of the European Union or a Member State.

3.5.  Right to Data Portability

You have the right to obtain the personal data that concerns you, which (i) you have provided to Chatbot.Expert, and (ii) is processed based on your consent or contract, and (iii) is processed by Chatbot.Expert automatically, in a structured, commonly used, and machine-readable format, and the right to transmit this data to another controller. If the exercise of this right would adversely affect the rights and freedoms of others, Chatbot.Expert will not be able to comply.

3.6.  Right to Object

You have the right to object to the processing of your personal data that is carried out for the performance of a task in the public interest, in the exercise of official authority, or for the purposes of legitimate interests pursued by Chatbot.Expert or a third party. If Chatbot.Expert does not demonstrate compelling legitimate grounds for processing that override your interests or rights and freedoms, or the processing is necessary for the establishment, exercise, or defence of legal claims, the processing will be terminated without undue delay.
